Location: Sussex County, NJ

Job Type/Status: Full Time

Salary: $40,000 annually

Duties and Responsibilities

  • Complaint with funding source, contract and or program's Annex A
  • Complete required documentation within established timeframes per Federal, State, County, and agency regulations, policy and procedure
  • Greets all persons coming to the office, informs counselors of the arrival of clients and follow front desk protocol.
  • Provides telephone coverage for office, including transferring and taking messages.
  • May coordinate scheduling and room assignments.
  • Performs clerical tasks as needed for the program, including data entry, report generation, billing functions, and word processing, compliance and insurance processing, etc.
  • May provide training and technical assistance to other support staff regarding general office systems, client information systems, and management information systems.
  • May maintain forms and supplies for the programs.
  • Must be sensitive to and handle all confidential information accordingly
  • Gives administrative support to senior staff.
  • Responsible for as special projects assigned by VPs, AVPs, directors, or supervisors
  • Maintain confidentiality of clients.
  • Schedule appointments in coordination with clinical staff; maintain centralized client/staff schedule of appointments.
  • Assure accurate and timely completion of forms necessary for third party reimbursement.
  • Utilize ECR to organize and maintain clinical records.
  • Scan documents, photocopy, and send documents.
  • Manage supply orders for all programs within the office.
  • Maintain credit card receipts and reconcile monthly statements for all programs.
  • Type or word-process required assignments accurately and promptly.
  • Maintain meeting minutes.
  • Gather data and complete statistical reports as requested staff.
  • Assist in position recruitment by monitoring posted positions and applicants. Conduct initial telephone screenings of applicants.
  • Manage meeting schedule for VPs, AVPs, directors, supervisors, and staff.
  • Abide by agency Policies and Procedures.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma.
  • Excellent clerical skills and computer literacy.
  • Ability to communicate well over the telephone.
  • Must be punctual and reliable.
