Job Type/Status: Part Time

Position Summary 

The Administrative Assistant will provide essential administrative support to the Residential Treatment Program. This role involves a variety of administrative and clerical tasks, ensuring the smooth and efficient operation of the program.

Duties and Responsibilities:

  • Complete required documentation within established timeframes per Federal, State, County, and agency regulations, policy and procedure including State contract and or program's Annex A

Human Resources Support

  • Assist with onboarding new employees, including preparing orientation materials. ensuring all necessary IT logins, equipment and software access are available and that all New Hire

  • Orientation Checklist paperwork is completed.

  • Maintain employee records and assist with scheduling staff evaluations and training.

  • Support HR initiatives and activities as needed.

Document Management

  • Create, update, and maintain client records and other important documents. Ensure all youth records are uploaded within the electronic health record (Awards).

  • Ensure all documentation is accurate, up-to-date, and stored securely.

  • Assist in the preparation of reports, presentations, and other documents as needed.

  • Enter and update client information in the agency database.

  • Ensure all program billing documentation is up to date and reflecting on Trackers

Regulatory Compliance

  • Assist with Monthly QI Checklist

  • Ensure all administrative activities comply with local, state, and federal regulations.

  • Maintain up-to-date knowledge of compliance requirements and assist in audits and

  • inspections.

  • Support the implementation of policies and procedures to ensure compliance.

Safety Procedures

  • Assist in maintaining and updating safety protocols and procedures.

  • Ensure the office environment adheres to health and safety regulations.

  • Participate in emergency preparedness planning and drills.

Technology and Equipment

  • Troubleshoot basic office equipment issues (e.g., printers, copiers, computers).

  • Coordinate with IT support for more complex technical problems.

  • Ensure all office equipment is functional and properly maintained.

Staff Assistance

  • Provide administrative support to the Program Director and other staff members.

  • Assist in organizing and coordinating staff meetings, training sessions, and workshops.

General Office Duties

  • Manage correspondence, including emails, letters, packages, and other forms of communication.

  • Prepare meeting agendas, take meeting minutes, and post to relevant parties.

Office Maintenance

  • Monitor and maintain office supplies inventory, placing orders as needed.

  • Ensure the office environment is clean, organized, and conducive to a professional setting.

  • Coordinate with vendors and service providers for office maintenance and repairs.

Work Environment & Physical Requirements

  • Ability to sit for up to 4 hours

  • Ability to lift up to 15 pounds

  • Be comfortable working in various residential settings, including shared spaces and group rooms.

  • Ability to use a computer, keyboard, and other office equipment with precision.

  • Visual acuity to review documents, input data, and perform detailed tasks.

  • Adequate hearing and speech capabilities to engage in conversations, presentations, and phone communication clearly and effectively.
