POSITION SUMMARY:

This role is essential in maintaining accurate records, ensuring compliance with regulatory standards, and supporting our team in delivering exceptional client services. The ideal candidate will possess strong administrative skills, a commitment to confidentiality, and a proactive approach to problem-solving.

Duties and Responsibilities: 

  • Comply with funding source, contract, and or program's Annex A.

  • Complete required documentation within established timeframes per Federal, State, County, and agency regulations, policy, and procedure.

  • Core Responsibilities for Job Role/Sector:

  • Client Chart Management:

  • Organize and maintain client charts, ensuring all information is current, accurate, and easily accessible.

  • Review and update client records, including personal information, service history, and documentation of interactions.

  • Documentation Preparation: 

  • Assist in preparing and processing necessary documentation for client services, including intake forms, consent forms, and reports.

  • Ensure all documents meet regulatory requirements and organizational standards.

  • Data Management:

  • Input and update data in electronic health records (EHR) systems with a high degree of accuracy.

  • Generate and analyze reports from client data to support team initiatives and decision-making.

  • Compliance and Confidentiality:

  • Adhere to all privacy and confidentiality regulations, ensuring that client information is handled securely.

  • Participate in regular training on compliance policies and procedures.

  • Administrative Support:

  • Assist with scheduling appointments, managing calendars, and coordinating meetings as needed.

  • Support team members with various administrative tasks to enhance overall efficiency and workflow.

Program Responsibilities: 

  • Billing Management:

    • Prepare and process billing for clients, ensuring accuracy and timely submission.

    • Track payments and follow up on outstanding invoices as needed.

  • Reference Checks:

    • Conduct thorough reference checks for new hires and interns, ensuring all information is verified and documented accurately.

    • Assist in the onboarding process by coordinating necessary paperwork and orientations. and census trackers are to be completed and sent to the proper departments

  • Mail Management:

    • Manage all incoming and outgoing mail for the program, ensuring timely distribution and organization.

    • Maintain a record of important correspondence and ensure confidentiality where necessary.

  • Receipt Rectification:

    • Review and rectify program receipts to ensure all financial records are accurate and accounted for.

    • Work with finance or accounting teams to resolve discrepancies as needed.

  • Meeting Documentation:

    • Attend all staff meetings and document minutes, ensuring clarity and accuracy in recording discussions and action items.

    • Distribute minutes to all staff members promptly after meetings.



REQUIREMENTS: 

  • Previous experience in an administrative role, preferably in a healthcare or client service setting.

  • Strong organizational skills and a keen eye for detail.

  • Proficiency in Microsoft Office Suite and familiarity with electronic health records (EHR) systems.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks and manage time effectively in a fast-paced environment..
