SUMMARY: 

Excellent opportunity for a motivated individual to contribute to helping others. Reporting to the Chief Operating Officer (COO), the Executive Assistant, will work closely with the COO to accomplish the agency's mission.  In this role, the candidate will complete a wide variety of administrative tasks for the Chief Operating Officer, including: managing an extremely active calendar; project management; composing and preparing correspondence that is sometimes confidential; and collecting/submitting grant reports in various local, state, and federal reporting systems.

Duties and Responsibilities:

  • Travels to Northern Counties (Sussex, Warren, Morris, Essex, Passaic) to assist Chief Operating Officer and other staff, as assigned. 

  • Work alongside Chief Operating Officer daily to complete a range of tasks in a fast-paced environment.

  • Manage Chief Operating Officer's calendar, including making and rescheduling appointments.

  • General typing for Chief Operating Officer and distribution when required:  memos, emails and other important correspondence.

  • Schedule telephone conversations with multiple parties, in-person meetings, zoom meetings and other large groups events.

  • Assist with contract report submissions, new program grant proposals and other funder correspondence.

  • Support the Chief Operating Officer's direct reports and leadership staff in timely submissions as needed.

  • Reconcile credit card for the Chief Operating Officer on a monthly basis and submit appropriate documentation to the finance department.

  • Review financial submissions, including check requests and credit card statements, of program directors and program leadership under the Chief Operating Officer.

  • Plan agency birthday events and purchase gifts for agency staff


Human Resource (sample of duties)

  • Assist CFS Directors with screening applicants prior to interviews

  • Organizing staff schedules, so interviews are scheduled in a timely manner

  • Conduct reference checks on job applicants and complete required paperwork

  • Perform other duties related to the overall functioning of the Center.


REQUIREMENTS: 

  • Education- Bachelor's Degree in Communication or related field preferred, High School Diploma or equivalent required.

  • Minimum 3-5 years-experience in office environment, supervisory experience preferred, but not required

  • Exceptional organization, time management and communication skills

  • Strong working understanding of Zoom, MS Office Suite (Excel, Word, Outlook & Power Point) and Google Suite (Google Sheets, Google Doc, Google Calendar, Google Drive).

  • Strong ability to succeed in a fast paced environment.

  • Ability to work independently and demonstrate self-initiative to complete tasks.

  • Ability to work well with a range of internal and external professionals/stakeholders.
