Position Summary: 

The Talent Acquisition Onboarding Specialist plays a vital role in ensuring a seamless and welcoming transition for all new employees, interns, and volunteers. This position manages the onboarding process from offer acceptance through the first weeks of employment, ensuring compliance, coordinating logistics, and promoting engagement.

This role requires strong organizational skills, attention to detail, and a people-centered mindset, as well as the ability to thrive in a fast-paced human services nonprofit environment.

Duties and Responsibilities:

  • Coordinate all onboarding logistics for employees, interns, and volunteers.
  • Collect and track required documentation, including background checks, fingerprinting, drug screenings, credentials, and medical clearances, in accordance with NJ state and program requirements.
  • Prepare and send offer letters and onboarding documents via HRIS/ATS platforms.
  • Schedule and facilitate new hire orientation sessions (virtual and in-person); ensure timely completion of all required training modules.
  • Create and maintain physical and electronic personnel files in compliance with agency standards.
  • Assist with recruitment efforts by posting job openings in the ATS, Indeed, and various job boards, ensuring consistency, accuracy, and visibility across platforms.
  • Serve as the primary point of contact for new hires throughout the onboarding process.
  • Keep the Applicant Tracking System updated with onboarding progress and employee statuses.
  • Collaborate with hiring managers, IT, and Payroll to ensure all onboarding needs are met, including system access and equipment setup.
  • Maintain accurate onboarding records and ensure compliance with state and federal regulations (e.g., I-9, CARI, CHRI, Title IX).
  • Support HR in audits, reporting, and continuous improvement efforts.
  • Foster a welcoming, inclusive onboarding experience that reflects the mission and values of the Center For Family Services.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent plus relevant work experience
  • 1 - 3 years of experience in HR, onboarding, or administrative coordination
  • Experience using HRIS and Applicant Tracking Systems
  • Strong communication, interpersonal, and customer service skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines in a fast-paced, mission-driven environment
  • High level of confidentiality and discretion in handling sensitive information
Preferred Qualifications:
  • Associate's or bachelor's degree in Human Resources, Social Work, Nonprofit Management, or a related field
  • Experience working in a nonprofit or human services setting
  • Familiarity with New Jersey state requirements related to background checks (CARI, fingerprinting, TB testing)

Work Environment:

  • This position operates in a professional office environment located on-site in Voorhees, NJ, with occasional visits to other program sites as needed. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • This is primarily a sedentary role; the employee is regularly required to sit, talk, and hear.
  • The role requires the ability to frequently use hands and fingers for typing and handling onboarding documentation.
  • Occasional standing, walking, bending, or lifting (up to 15 pounds) may be required.
  • The work environment is fast-paced and deadline-driven, with frequent interactions with internal staff and new hires.
  • Must be able to maintain concentration and attention to detail despite frequent interruptions.
